Self Assignment

Self Assignment is an online registration process where continuing residential students designate one roommate to complete the housing registration process for their group.


Roommate Group

Students form roommate groups prior to the designated date to register for housing through a “Roommate Group” form in the student housing gateway

  • All members of the group must accept the invitation to join the group so that they can be “pull-in” as roommates by the designated roommate during the registration process

Process

  • Prior to your designated registration date you'll establish a Roommate Group through a form in the student housing gateway
  • One student will establish the group through the use of the Roommate Group Form and invite students to join the group

Requirements

Invited students must access the Roommate Group Form and ACCEPT the invitation to join the group prior to the designated day to register for housing.

Only group members that have accepted the invitation can be “pull-in” as roommates during the housing registration process by the designated roommate.


NO Full Occupancy Requirement

During the housing registration process, there is no full occupancy requirement to register for an apartment or residence hall room. This means that a designated roommate can register for an apartment or residence hall room without filling all available spaces. However, students are encouraged to fill apartments or residence hall rooms to full occupancy. Spaces not assigned by the designated roommate will be assigned to other students that need a housing assignment.

Examples:

  • Landings 4 BR Apartment -designated roommate with a group of 2 or 3 students can register for the apartment without the 4th roommate.
  • Main Campus Double Room -designated roommate can register for the room without a selected roommate.

 


Designated Roommate

Continuing residential students have the opportunity to designate one roommate who is in charge of obtaining an assignment for their group.

This person is known as the "designated roommate."

The designated roommate will either be the student that is squatting the apartment or the student with the higher number of credits.

Examples:

If student A is currently living in Lancer Park 205C and the student is squatting the apartment, this student is the designated roommate and register themselves and roommates to the apartment on the appropriate date for squatters.

Another example is if a rising Senior wants to room with a rising Junior, then the rising Senior would be the designated roommate and would register themselves and roommates for housing on the appropriate date for rising Seniors.

Responsibilities

  • The designated roommate will register the group for housing during the registration process
  • The designated roommate must enable pop-ups on their browser to complete the Housing Registration

Prior to the registration date the designated roommate must ensure all members of the roommate group have accepted membership.


Housing Registration Process

During housing registration, the designated roommate has the opportunity to

  • Log into the student housing gateway
  • Select a housing assignment
  • "pull in" students that previously accepted membership to the roommate group

Housing Assignment Registration

The student housing gateway allows the designated roommate to choose the location of assignment, rather than indicating a preference for housing.

Once the assignment is chosen, the designated roommate assigns his/her roommates to their desired beds. 

Once the registration is completed, each student will receive their own:

  • Assignment confirmation email
  • Instructions to register for their meal plan

Room assignments are confirmed before the designated roommate walks away from the computer.

Assignment Revisions

If necessary, assignments can and will be facilitated or revised at the discretion of RCL.

Eligible students may register from 10 a.m. to 4 p.m. each day of the registration process.

For example, all rising senior students can register from 10 a.m. to 4 p.m. on the date designated for rising seniors.

FAQ's

Who is eligible to live in the Longwood Managed apartment communities?

All current residential students that have not been approved to live off-campus are eligible to live in:

2-bedroom apartments at Lancer Park and Lancer Park North and South
4-bedroom apartments at the Landings, Lancer Park, and Lancer Park North and South

Residence Hall Single or Double Room

Only Rising Juniors and Seniors are permitted to participate in the housing lottery for assignment to a Studio apartment at Lancer Park and a Studio apartment at the Landings. Therefore, students must have earned at least 56 recognized Longwood credits at the conclusion of the spring 2025 semester to be eligible to register for a Studio apartment.

What if I don't have a roommate?

During the squatting apartment registration & open registration process for the apartments or main campus residence halls, students can register for an apartment or residence hall room without a roommate.

Students are encouraged to form a roommate group and self-select roommates.

Open spaces in apartments or residence hall rooms will be assigned to other students that need a housing assignment.

If I am currently a commuter student, can I participate in the self-assignment housing registration process?

Yes, but in order to be eligible to register for housing, the student must email [email protected] to submit the request to participate in housing registration. This will ensure that the student has an active housing application, which is necessary to register for housing.

Which apartments at Lancer Park have a bedroom without a window?

There are some apartments at Lancer Park that have a bedroom within the apartment that does not have a window. Please review the list below that includes the list of apartments. If you have additional questions, please contact the Residential and Commuter Life Office.

Can I live in the same main campus residence hall room next year?

Students will be unable to squat his/her room. If the student's current housing space is available at the time the student completes the registration process, the student may select the same housing space.

RCL will designate floors for freshmen. These rooms will not be available to continuing students during the housing registration process because these rooms will be reserved for new freshmen.Students should review the Housing Options chart on the RCL website, which details the main campus residence hall floors available for upperclassmen students during the registration process.

Can I choose my suitemates?

Yes, any student that wishes to be assigned to the same room or suite together will need to create a Roommate Group prior to your designated registration date.  This will ensure that all members of the group are assigned to the same suite by the designated roommate who completes the registration for the group.

Can I register for a single room on main campus?

Due to the anticipated high demand for single rooms, those students who prefer a single room accommodation may submit the single room request form in the housing gateway between March 24 and 27.  Those students who submit the single room request form MUST also register for a double occupancy room during the self-assignment process. The ability of the RCL office to honor single-room requests will depend upon space availability.

What if I have a disability or health need?

What if I am going to be an RA next year?

If you have turned in your acceptance to the RA Search Committee, then you will be assigned a room by your supervisor.

What happens if I miss my day to sign-up?

If you miss your day to sign-up, you will be permitted to register on the next available self-assignment date.

What if I am going to live on my Greek affiliated hall?

Each organization's housing chair will submit the housing roster to the Director of Housing. The Director of Housing will ensure that each student is assigned to the correct spaces and will provide each student with a confirmation email regarding the assignment.

What if I am going to live on the Honor's hall?

Each organization's housing chair (or person in charge of housing assignments) will submit the housing roster to the Director of Housing. The Director of Housing will ensure that each student is assigned to the correct spaces and will provide each student with a confirmation email regarding the assignment.

What if I am not registered for 12 credits?

All residential students are encouraged to maintain a course load of 12 credit hours. This policy is designed to maintain the commitment to an educational residence hall environment.

However, the RCL office permits individuals taking less than 12 credits to reside in Longwood housing. All students residing in Longwood housing must be enrolled in at least one class.

What if I am not Returning to Longwood in the Fall?

If you will not be returning to the university and will not be attending/registering for any Longwood courses, you must complete the withdrawal process. To withdraw from the university, you must contact the Registrar's office and complete a withdrawal form and complete the withdrawal process.

What if I want to live with an incoming transfer student?

The room assignment process is designed for ONLY current/continuing residents. Assignments for new residential students (new freshmen, transfers, and re-admitted) will be processed during the summer months, using a different allocation procedure. Therefore, continuing residential students are not permitted to assign themselves with new residential students during the continuing student registration process. Those students that are interested in being housed with a new student should contact the RCL office regarding this request.

What if I am academically or judicially suspended prior to the start of the Fall term?

An academic or judicial suspension will terminate the room and board assignment and the random bed space will be assigned to another eligible resident.

When will the housing room and meal plan rates be approved?

The housing and meal plan rates will be approved at the December Board of Visitors meeting.  Once approved, these rates will be published on the RCL website.

What if I want to change my room assignment?

A room assignment "freeze" is in effect until approximately 2 weeks after the start of the fall and spring terms for any non-administrative room changes. (incoming residents and if applicable, students living in temporary or transitional assignments will be given priority.) Unauthorized room changes are not permitted. Students found to have made an illegal room change will be assessed a $75.00 fee and will face judicial action.

What if I want to change my meal plan?

Students have until 5 p.m. on the add/drop date of each semester to change their meal plans.
Residential students may change their plans through the Student Housing Gateway.
